How PolicyOptic collects, uses, stores, and shares your information.

Who We Are

PolicyOptic operates a software platform that helps boat owners organize marine insurance documents and request marine insurance quotes, and helps insurance professionals review qualified opportunities and client documents. PolicyOptic is a technology and communications platform. PolicyOptic is not an insurance company, broker, or agent, does not sell or bind insurance, and does not provide insurance advice or recommendations.

Information We Collect

Account information (email, password, account type).
Vessel and profile information you provide.
Uploaded documents (insurance policies, renewals, quotes, declarations, surveys) — stored privately, not public.
Extracted factual data with source document/page references.
Usage information (device, browser, IP, pages visited) for security and service improvement.

How We Use Information

To organize your uploaded documents into a structured, source-linked review.
To build and maintain your Boat Passport.
To let you post insurance requests to the Marketplace.
To let insurance professionals review Marketplace opportunities and, if authorized, access information needed to quote you.
To provide account access, security, support, and improvements.

How Information Is Shared

We do not sell your personal information. Information is shared with an insurance professional only when you post a Marketplace request and a professional purchases that specific opportunity, or when you otherwise explicitly authorize sharing. Each Marketplace opportunity is sold to one professional only — never broadcast to multiple professionals. Access can be revoked or expired at any time. We may share information with service providers under confidentiality obligations, or if required by law. These service providers include automated document-reading and AI service providers that help us read uploaded documents.

Data Storage and Security

Uploaded documents and extracted facts are private by default. We use industry-standard safeguards including encrypted storage and access controls. No system is perfectly secure and we cannot guarantee absolute security.

Clean Copy Requests

An insurance professional can send you a Clean Copy link to ask for a copy of your current coverage without your personal details. This is how it works:

When you upload a document through a Clean Copy link, we read it using automated systems, including AI service providers, to extract coverage information.
We automatically remove, and then check again for, the carrier name, policy number, price items, and the insured's name, address, phone and email. No automated process is perfect, and we do not promise that every item is removed. That is why you review the page before you approve it.
When you approve, the professional receives the cleaned page and a PDF of it. This includes boat details, the hull ID, where the boat is stored and the marina name, limits, deductibles, coverage wording, and the number of claims by year.
The file you uploaded and our reading of it are deleted when you approve, decline, or the request is blocked. Uploads that are not approved are deleted within 72 hours.
We keep the approved, cleaned page for the professional, along with a record of your consent and of the deletion.
We do not sell this information.

Your Rights and Choices

You may access, correct, delete, or export your information.
You can access/correct information directly in the app.
Request account deletion by contacting support@policyoptic.com.
Export your Boat Passport (including for transfer to a new owner).

Data Retention

We retain information while your account is active or as needed for legal/operational purposes. You may request deletion at any time.

Children's Privacy

PolicyOptic is not directed to individuals under 18. We do not knowingly collect information from children.

Changes to This Policy

We may update this policy; material changes will be posted here with an updated date.
